This is a 12 month position for 232 days with a minimum salary of $33,701.77/yr.

Experience

  • Minimum three (3) years secretarial experience

  • Experience working independently and following directions

Equipment Requirements

  • Computer and peripherals, audiovisual equipment, photocopier, graphics lab equipment, FAX, mail machine, telephone, other equipment as requirements change

Work Conditions

Purpose

  • Provide support and facilitate the efficient operation of the Department of Educator Quality alternative certification programs, professional development workshops, conference planning, etc. as well as serve as receptionist for Academic Services.

Knowledge/Skills

  • Strong organizational, communication and interpersonal skills and attention to detail

  • Ability to work with a variety of individuals and personalities

  • Ability to adapt to a flexible work flow

  • Proficient skills in typing , application software (word processing, spreadsheet, database, limited desktop publishing processes, hard copy and electronic file maintenance)

  • Ability to work in teams under strenuous deadlines with professionalism and positive attitude

  • Ability to handle multi-faceted tasks simultaneously

  • Proven attendance track record

  • Communicate effectively (verbal and written)

  • Reading, writing, and proofreading

  • Software knowledge in Excel PowerPoint, FileMaker Pro, Word, Adobe Acrobat

Education

  • High school diploma or GED required

  • Additional post secondary course work preferred

Responsibility

  • Serve as a representative of Region 13, displaying courtesy, tact, consideration and discretion in all interactions with other members of the educational community and with the public

  • Serve as the receptionist for Academic Services, including providing a pleasant and courteous method of receiving visitors, answering phone calls and email, and directing to appropriate personnel

  • Perform general secretarial duties including faxing, making copies, scheduling appointments, making travel arrangements and facilitating the operation of the assigned programs or activities

  • Support department specialists and coordinators in maintaining online courses, including maintaining live links

  • Perform word processing, spreadsheet and database operations

  • Maintain and update network files both hard copy and electronic, including processing applications and payments

  • Maintain and ensure confidentiality of oral, written and electronic information

  • Maintain and update records on program eligibility, inventory and department files

  • Compile student demographic information for reports

  • Apply SBOE/SBEC rules/regulations related to the alternative certification programs

  • Monitor Certification Department online classes for outdated and/or broken links

  • Perform other duties as assigned
