Additional Information for Calculating the Certification Exam Reimbursement

Last week, the Texas Education Agency published information and instructions for requesting reimbursement for student certification and licensure exams. (http://www.tea.state.tx.us/taa_letters.aspx).

The Agency has received questions regarding calculation of the amount requested per student when the LEA had purchased a block/bundle/license for the exams. Here is the clarification from TEA:

“If an LEA paid for a block, bundle, license, or similar bulk arrangement for certification or licensure exams for which the LEA will request reimbursement, the LEA should divide the cost of the bulk purchase by the number of students who TOOK the exam. Use the resulting per student amount to request reimbursement for each student who PASSED that exam.”

An example was provided:

  • The LEA paid $4000 for a bulk purchase that entitles 1000 eligible students to take the exam
  • 500 students in the LEA TOOK the exam
  • 400 of those students PASSED the exam
  • $4000 รท 500 = $8 per student who TOOK the exam
  • The LEA requests $8 for each of the 400 students who PASSED the exam.

The agency has also communicated that, “if an LEA previously submitted an application using a different formula, the LEA may submit an amended/revised application using the formula above. In this case, the date and time of the first submission will be the official application date and time.”
